CANDIDATE MEMBERSHIP

  1. Upon receipt of the completed membership application file, the Chair of the Membership Committee forwards the information to the members of the committee for their review and comment. From these responses the Membership Chair prepares a recommendation regarding the candidate.
  2. The Membership Chair presents the application file with the committee recommendation to the Executive Committee of the Society at the next Annual Meeting of the Society. Upon acceptance of the Executive Committee of a favorable recommendation, the APPLICANT becomes a CANDIDATE MEMBER.
  3. CANDIDATE MEMBERSHIP status is conferred for a period of three years from appointment, unless extended by the Executive Committee pursuant to a petition by the member to the Secretary Treasurer. The CANDIDATE MEMBER is invited to attend annual meetings of the Society as a guest of the Society.
  4. Should action on the application be deferred or denied by the Executive Committee, the Secretary-Treasurer will write to the applicant and sponsor, noting the reason(s) for deferral or denial. In the case of deferral, the letter will list the recommendations of the Executive Committee, and request supplemental or explanatory information, which should be forwarded to the Chair of the Membership Committee. The application together with supplementary documentation will be reviewed by the Membership Committee and represented to the Executive Committee at its next meeting. If the updated application is not approved by the Executive Committee, the application process will be terminated.

MEMBERSHIP

  1. Upon acceptance into CANDIDATE MEMBERSHIP, the CANDIDATE MEMBER will be invited by the Secretary-Treasurer to present a scholarly work to the Society for consideration for presentation at one of the next three annual meetings. The presentation must meet the criteria of the Program Committee for inclusion in the “Peer Reviewed” portion of the Scientific Program and be deemed by the Executive Committee to be of a suitable quality for membership including an oral presentation, oral poster presentation, non-oral poster presentation, or video presentation. If the CANDIDATE MEMBER has made such a presentation at an Annual Meeting within the two years prior to submitting a membership application, the CANDIDATE MEMBER may submit to the Secretary-Treasurer a written request that the presentation be accepted as satisfying this membership requirement. Exceptions to this process (such as authorship issues) will be reviewed on an individualized basis by the Executive Committee.
  2. At its next session following the CANDIDATE MEMBER’S presentation, the Executive Committee will review the presentation. If the completed application including the presentation is deemed satisfactory by a majority of the Executive Committee members, the Secretary-Treasurer will be directed to submit the name of the CANDIDATE MEMBER to the Society membership for election into the Society. Should the Executive Committee not find the presentation of acceptable quality, the Secretary-Treasurer will be directed to write to the applicant and sponsor noting the reason(s) for non-acceptance.
  3. The names of CANDIDATE MEMBERS accepted by the Executive Committee will be submitted to the Membership-at-Large for approval which will be obtained by a vote of the Society to be conducted prior to the Interim Meeting of the Executive Committee.
    • Any negative vote requires a written comment or it will not be counted.
    • Candidates receiving no negative votes will be invited to join the Society as Active Members.
    • The application of any candidate receiving between one and five negative votes will be reviewed by the Executive Committee at the Interim Meeting for final decision regarding active membership.
    • The application of any candidate receiving five or more negative votes will be closed.
  4. CANDIDATE MEMBERS will be notified by the Secretary-Treasurer of the outcome of the membership vote prior to the next Annual Meeting. The sponsor and endorser will be notified by separate correspondence of the outcome.
